Streamline arrivals with QR check-in. Scan codes, view your manifest, and handle group bookings without the clipboard.

How Check-In Works

When a angler completes a booking, their confirmation email includes a unique QR code. On the day of the trip, they show the code on their phone. You scan it, and Guidewinds instantly verifies the booking and marks them as arrived.

  • Scan on arrival: Use your phone camera or the dashboard check-in screen
  • Instant verification: Guidewinds confirms the booking is valid, paid, and for today

Setting Up Check-In

Enable QR check-in for your charter in a few steps:

  1. Go to Settings → Notifications → Email Templates
  2. Make sure the confirmation email template includes the QR code block
  3. Save your changes

Once enabled, every new booking confirmation includes a scannable QR code. Existing anglers with upcoming bookings receive updated emails on their next reminder.


Scanning QR Codes

Using Your Phone Camera

Point your phone camera at the angler's QR code. Most modern phones recognize QR codes automatically and open the check-in link in your browser. Tap the link to confirm arrival.

Using the Dashboard Check-In Screen

  1. Go to Dashboard → Bookings
  2. Tap "Check-In" at the top of the page
  3. Grant camera access when prompted
  4. Point the camera at the QR code

The screen confirms the angler's name, trip, party size, and payment status in one glance.


Viewing the Manifest

The manifest is your day-of roster listing every angler expected to arrive, organized by time slot. Go to Dashboard → Bookings and filter by today's date. For each booking you'll see:

  • Angler name and contact info
  • Party size: How many guests to expect
  • Check-in status: Not arrived, Checked in, or No-show
  • Trip: Which trip they booked
  • Payment status: Paid in full, deposit only, or unpaid

Real-Time Updates

The manifest updates live. As you scan anglers in, their status changes immediately so you always know who's still outstanding.

Group Check-In

Checking In an Entire Group

When a angler arrives with their full party, a single scan checks in everyone on that booking. No need to scan each guest individually.

Partial Check-Ins

If only some guests have arrived:

  1. Open the booking from the manifest
  2. Tap "Partial Check-In"
  3. Enter the number of guests who have arrived
  4. Save

The manifest shows a partial status (e.g., "3 of 5 checked in") so you know who's still missing.


Tips for Smooth Check-Ins

Prepare Ahead

Arrive early and open the manifest before your first anglers show up. Knowing who to expect helps you greet people by name.

Offline Backup

In areas with poor signal, pull up today's manifest while you still have connectivity. You can manually mark anglers as checked in later when you're back online.
